Beauty & med spa accounting for owners who want to keep what they earn
Your calendar is full. Your team is busy. Your revenue looks like success. So why does your take-home sometimes look like one of your providers' paychecks? We plan your taxes, keep your books, run your payroll, and file your returns, so more of what your business earns becomes wealth you keep. Based in Tampa, Florida, we work with salon, studio, and med spa owners across Florida and nationwide.

You built something beautiful. So why does it feel this hard?
- You're booked out for weeks, and you still hold your breath before you check your bank account.
- You pay your team every two weeks without fail. Paying yourself is the thing that gets pushed.
- You know your services and your clients better than anyone, but your numbers feel like a language nobody taught you.
- Every April, a tax bill lands that could have been a new device, a second location, or real money in your retirement account.
- People see the space, the brand, and the waitlist, and assume you're set. Some nights you're not sure what you'd have if you stepped away.
None of this means you're bad at business. It means you've been running a complex business without anyone planning the money side with you.
Where beauty & med spa money quietly disappears
Beauty businesses and med spas have more moving parts than almost any service business, and most accountants only look at them once a year. Here's where we see owners lose the most:
- Your entity setup.Salons and studios often outgrow the structure they started with. Many med spas run a medical practice and a separate management company. If nobody has looked at how they're structured, or how money moves between them, you could be overpaying tax and creating compliance risk at the same time.
- How you pay yourself.Too little salary invites IRS scrutiny. Too much means extra payroll tax. Most owners picked a number once and never revisited it.
- Your team.Stylists, lash artists, injectors, nurse practitioners, and aestheticians get paid every way imaginable: W-2, hourly, commission, booth rent, contractor. Getting the classification wrong is one of the most expensive mistakes in this industry.
- Tips.Tips run through your card machine and your payroll, with their own reporting rules. Handled loosely, they create payroll problems. Handled well, they may even qualify you for a tax credit many owners don't know about.
- Product and inventory.Color, neurotoxin, filler, and retail skincare are some of your biggest costs. If they aren't tracked properly, you don't really know your margins.
- Equipment and build-out.Chairs, lasers, devices, and treatment rooms are major purchases, and when and how you deduct them can change your tax bill by thousands.
- Packages, memberships, and gift cards.Prepaid revenue makes your bank balance look healthier than your profit, until the tax bill arrives.
Every year without a plan is wealth you don't get back
The salary adjustment, the retirement plan, the equipment timing, the entity changes: almost all of them have a deadline, and most close on December 31. By the time most accountants see your numbers, the year is over. Miss those windows, and that money goes to taxes instead of to your future, along with everything it would have grown into.
Plan first. File second.
Your business isn't the problem. The problem is that nobody is looking ahead with you. Most firms report on your year after it's over. We plan it before it happens, adjust it every quarter, and file your returns to match the plan.
The result is a business that pays you well, on purpose, and profit that finally has room to grow into wealth.

What it looks like in practice
A med spa owner operating in two states, with multiple entities and filing questions nobody had answered. We [mapped the entity structure, cleaned up how each entity files, and built a plan for the year]. Result: [specific outcome, ideally a dollar figure or a risk avoided].
“[Client quote about how it feels to finally understand her numbers.]”[Med spa owner, state]
Is this for you?
This is for you if…
Your business brings in $300K or more a year, you're ready for a long-term partner rather than the cheapest return, and you want your business building your wealth, not just covering payroll and taxes.
It isn't for you if…
You only need one-time tax prep or you're in your first year of opening.
Beauty & med spa accounting questions, answered
Does a med spa need two entities?
Often, depending on your state. Many states require a medical practice to be owned by a licensed provider, so a common setup is a medical practice owned by a physician or other licensed provider, plus a management company owned by the business owner, connected by a management agreement. The rules vary widely from state to state, so the legal structure should be set with a healthcare attorney. We handle the accounting and tax side and coordinate with your attorney.
Should my stylists or injectors be employees or contractors?
It depends on how they actually work, not what the agreement calls them. If you set their schedules, provide the products and equipment, and control how treatments are delivered, they often look like employees.
Do I have to report my team's tips?
If your team members are employees, yes. Their tips are taxable wages and need to run through payroll. Recent law changes also extended a federal credit for the employer's share of payroll taxes on tips to beauty service businesses, so the right setup can put money back in your pocket. We review how tips move through your business as part of onboarding.
Can a salon or med spa be an S-corp?
Yes. Many salons, studios, and med spas elect S-corp status. Whether it makes sense for you depends on your profit, your structure, and which entity you own. It's one of the first things we review.
How should a beauty or med spa owner pay herself?
If your business is an S-corp, you pay yourself a reasonable salary through payroll and take the rest as distributions. A reasonable salary depends on your role, your hours, and what it would cost to hire someone to do your job. It should be reviewed every year as the business grows.
Can I deduct my laser, equipment, or build-out in one year?
Often, yes. Equipment, and many improvements to your space, can usually be deducted faster through Section 179 or bonus depreciation. But faster isn't always better: the timing should fit your income this year and your plans for the next few years.
What does beauty and med spa bookkeeping include?
More than most service businesses: activity across each entity and location, management fees, team payroll and tips, product and retail inventory, equipment, and prepaid packages, memberships, and gift cards. Clean books are what every tax strategy is built on.
Do you work with owners outside Florida?
Yes. The Clarity Agency is a virtual firm, and we work with beauty and med spa owners across the country, including multi-state operations.
I'm not at $300K yet. Can you still help?
Yes. Our private strategy session is a 30-minute discovery call and a one-hour review call for $1,500 to build your plan, and the fee applies to your first month of The Clarity Partner when you're ready.
How much does it cost?
The Clarity Partner starts at $2,500 per month, including your bookkeeping, payroll, strategy, quarterly sessions, and returns, plus a one-time $2,500 onboarding. Additional entities and locations are priced on your consultation.
Your calendar is full. Now let's make sure your wealth is too.
